CoVector AI is the trading name of Florintree Value Studio Pvt. Ltd. ("we", "us", "our"). We operate the website covectorai.in and associated services including the AI Fluency Assessment, Employee Portal, and AI consulting engagements.

2. Information we collect

Website visitors

• Usage data: Server logs including IP address, browser type, pages visited, and referring URLs
• Cookies: Essential cookies for authentication and session management

Account holders

• Account information: When you sign in via Google, we receive your name, email address, and profile picture
• Authentication tokens: Secure session tokens for maintaining your login

AI Fluency Assessment

• Registration data: Name, email, department, and company/organisation
• Quiz responses: Your answers, scores, sub-dimension results, and quadrant placement
• AI coaching conversations: Messages exchanged with the Covector Coach after the assessment

Job applications

• Application data: Name, email, phone number, resume/CV, cover letter, GitHub profile, and writing samples submitted through our careers portal
• Evaluation data: Assessment scores and notes generated during our automated hiring pipeline

Consulting clients

• Business data: Data provided by client organisations during consulting engagements, as defined in the applicable Statement of Work
• Contact information: Names, email addresses, and roles of client personnel we work with

• Generate your AI Fluency assessment results and personalised coaching

4. Data sharing

We do not sell your personal data. We may share information with:

• Your organisation: Aggregated quiz analytics may be shared with your employer if they sponsor the assessment
• Service providers: We use Anthropic (AI processing), Google (authentication), and AWS (hosting) to operate our services
• Legal requirements: We may disclose information if required by law or to protect our legal rights

Client data received during consulting engagements is handled strictly as defined in the applicable SOW and is never shared with third parties without the client's written consent, except as required for service delivery (e.g., processing via AI models as agreed).

5. AI processing

We use AI models (including services from Anthropic and Google) to process certain data as part of our services. This includes generating assessment results, providing AI coaching, and powering features in the Employee Portal. Data sent to AI model providers is processed in accordance with their data processing agreements and is not used to train their models.

6. Data retention

• Account data: Retained for as long as your account is active or as needed to provide our services
• Assessment data: Retained for analytical purposes; you may request deletion
• Job applications: Retained for up to 12 months after the application process concludes, unless you request earlier deletion
• Consulting data: Retained as specified in the applicable SOW, or for the duration of the engagement plus any agreed retention period

7. Security

We use HTTPS encryption, secure authentication tokens, role-based access controls, and audit logging to protect your data. Access to personal data is restricted to authorised personnel. We follow industry-standard practices for data security appropriate to the sensitivity of the data we handle.

8. Your rights

Under the Digital Personal Data Protection Act 2023 (DPDP Act) and applicable law, you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your personal data
• Withdraw consent for data processing
